External Catering Terms & Conditions

 

1.      Catering Company Approval

- All catering companies must be referenced and approved by the Directors of St Ives before they are permitted to provide services. 

- Only those that meet the required standards will be approved. If a caterer does not meet the criteria, no reasoning will be provided. 

 

2.      Catering Fees

- All function catering must be provided by pre-approved caterers. 

- If an external caterer is chosen, a **surcharge** will apply. 

 

3.      Required Supplies

The caterer must supply the following: 

- Table linen 

- Serviettes 

- Cutlery 

- Crockery 

- Any necessary equipment for serving or plating food 

- Professional waitering staff in uniform

- A designated floor supervisor throughout all food service times.

 

4.      Equipment Usage

- Caterers are required to cook offsite or if they need to fry or cook onsite- they will need to provide and build a pop up kitchen in a tent outside of the St Ives Building. All access to St Ives Kitchens and equipment is prohibbited.

- All other equipment remains strictly off-limits.

- Any gas equipment brought onto the property must be accompanied by a valid Certificate of Competency. 

- Any electrical equipment must be 220V and single-phase, and must be in safe working condition. 

- No fridges or freezers are provided.

 

5.      Business License & Insurance Cover

- The caterer must provide proof of a valid business license and insurance cover for external catering. 

- The insurance policy must have a minimum cover of R5 million in Public Liability. 

- These documents must be submitted via email to ashley@stives.co.za before the event. 

 

6.      Cleanup & Waste Management

- All leftovers, rubbish, and catering equipment must be removed on the same day as the event. 

- All areas used by the caterer must be restored to their original condition. 

 

7.      Menu Submission 

- The final chosen menu must be submitted to reservations@stives.co.za at least 7 days prior to the event. 

 

8.      Liability Disclaimer

St Ives Lodge & Venue will not be held responsible for: 

- Negative reviews or complaints related to catering services. 

- Issues regarding food quality, food poisoning, health, or safety concerns** arising from external catering services.

 

 

By accepting the opportunity to cater for a client at St Ives Lodge & Venue, all external caterers explicitly agree to abide by the terms and conditions outlined herein. These terms are non-negotiable and are enforced to ensure the highest standards of service, safety, and professionalism. Failure to comply may result in the termination of catering privileges or additional penalties as deemed necessary by St Ives Lodge & Venue management. By proceeding with catering services, the caterer acknowledges full responsibility for adhering to these regulations and understands that any deviation from these terms may impact their ability to provide future services at the venue.
